Position Title: Police Records Technician

Job Summary
Under general direction, reviews, classifies and prepares Police reports for entry into the
computer system. Answers phone and assists general public and other departments with Police
information.
Essential Job Duties and Responsibilities
The following duties are normal for this position. These are not to be construed as exclusive
or all-inclusive. Other duties may be required and assigned.
• Reviews the case reports and arrest information of dispatchers and Police Officers.
• Classifies, indexes and prepares information for entry in the records management
system.
• Enters incident and arrest data into the record management system, reviews and verifies
accuracy of information.
• Answers telephone, provides information and reports as appropriate, refers unanswered
questions and complaints to appropriate parties.
• Responds to mail, telephone and public requests for confidential reports including
criminal history, accident reports, incidents and statistics, collects money received for
records services.
• Maintains contacts with other law enforcement agencies, social services, county
attorney’s office and disseminates paperwork to appropriate parties.
• Maintains juvenile records, paperwork and all arrest/criminal charges paperwork and
processes juvenile fingerprints.
• Prepares and responds to subpoenas.
• Monitors, processes and archives forms the State of Iowa TRAC’s system and the e-file
system.
• Prepares monthly statistics for the Department and completes reporting for the State of
Iowa and the Federal Bureau of Investigation.
• Assists Police Officers in locating case files and researching criminal records.
• Assists in training new employees and volunteers in department policy, data entry,
procedures and usage of equipment.
• Assists with Station Master duties.

• Conducts self in a professional manner which demonstrates courtesy and respect for all

• Performs other duties as assigned.
Minimum Education, Experience, Certification/Licensure, Other
• High school education or G.E.D. and seven to twelve months of related experience or
training; or equivalent combination of education and experience. Experience in
computer systems and general office work.
• National Crime Information Center Certification. Must pass criminal background check.
Preferred Education, Experience, Certification/Licensure, Other
• High school diploma or G.E.D. and one year of related experience or training; or
equivalent combination of education and experience.
Knowledge, Skills, and Abilities
• Ability to add, subtract, multiply, and divide in all units of measure, using whole
numbers, common fractions, and decimals.
• Ability to apply common sense understanding to carry out instructions furnished in
written, oral, or diagram form.
• Ability to compose correspondence and prepare various written and computer-
generated reports.
• Ability to compute rate, ratio, and percent.
• Ability to deal with problems involving several concrete variables in standardized
situations.
• Ability to distinguish between confidential and public information.
• Ability to effectively present information in one-on-one and small group situations to
customers, clients, and other employees of the organization.
• Ability to operate standard office equipment.
• Ability to read and understand written materials to record work activities or keep
records.
• Ability to reliably and predictably carry out duties.
• Ability to write simple correspondence.
• Knowledge of basic accounting clerical methods, forms, techniques, and terminology.
• Knowledge of police records system.
• Skill in oral and written communication.
• Skill in typing and computer data entry.
• Skill in using computers and applicable software applications (Microsoft Office – Word,
Excel, Outlook).
• Skill in verifying the accuracy of source documents and performing simple posting
duties.
