HomeMy WebLinkAboutPublic Works AideUpdated: August 2025 (Admin Review) CITY OF IOWA CITY – JOB DESCRIPTION Position Title: Public Works Aide Department: Public Works Division: Engineering Supervisor: City Engineer FLSA: Non-Exempt Civil Service: Yes Pay Grade: 2 Job Number: 0205 Job Summary Under general direction and supervision, provides clerical support for the Public Works Administration and Engineering Division Office. Performs routine clerical duties and provides general information to the public regarding policies and services. Answers phones at the front desk and responds to requests for information from staff and the general public. Essential Job Duties and Responsibilities The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned. • Greets the public and provides routine information and assistance. • Answers the phone; takes and delivers messages. • Helps track and maintain inventories of operational supplies. • Prepares releases, permits, periodic reports and correspondence upon request; deals directly with the public. • Performs miscellaneous office duties such as typing, copying, filing, Laserfiche, data entry and updating manuals and code books and is responsible for maintaining the file system and distribution of plans and specifications to prospective bidders. • Sorts and delivers incoming and outgoing mail. • Tracks stormwater best management practice (BMP) program applications and reimbursements. • Assists with collecting and processing documents related to public improvement and development projects. • Maintains the file system, including file entry and storage. • Manages the Adopt-an-Intake Program. • Assists contractors and the public with completing permit applications. • Conducts self in a professional manner which demonstrates courtesy and respect for all community members and coworkers. • Performs other duties as assigned. Minimum Education, Experience, Certification/Licensure, Other • High school education or G.E.D. or pursuit of degree and one to three months of related experience or training; or equivalent combination of education and experience. Updated: August 2025 (Admin Review) Experience in general office/clerical/computer work and working with the public. • Must pass criminal background check. Preferred Education, Experience, Certification/Licensure, Other • High school education or G.E.D. and four to six months of related experience or training; or equivalent combination of education and experience. Knowledge, Skills, and Abilities • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. • Ability to communicate effectively with the public and staff. • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. • Ability to deal with problems involving several concrete variables in standardized situations. • Ability to read and comprehend simple instructions, short correspondence, and memos. • Ability to reliably and predictably carry out duties. • Ability to work independently. • Ability to write simple correspondence. • Knowledge of basic office equipment, filing and sorting techniques. • Skill in using computers and applicable software applications (Microsoft Office – Word, Excel, Outlook). Supervision No supervision of direct reports.
