HomeMy WebLinkAboutSenior Clerk Typist - StreetsUpdated: August 2025 (Admin Review) CITY OF IOWA CITY – JOB DESCRIPTION Position Title: Senior Clerk/Typist – Streets Department: Public Works Division: Streets & Traffic Engineering Supervisor: Assistant Superintendent/Superintendent of Streets & Traffic Engineering FLSA: Non-Exempt Civil Service: Yes Pay Grade: 7 Job Number: 0716 Job Summary Under general direction, performs routine clerical duties requiring basic knowledge of the Streets & Traffic Engineering division. Assists general public with requests, inquiries and complaints about services, policies and ordinance regulations. Essential Job Duties and Responsibilities The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned. • Answers phone, provides general information to the public, responds to inquiries and complaints concerning division services, refers unanswered questions and complaints to appropriate parties. • Orders materials needed by the division, communicates information to vendors regarding quantities needed. • Enters data on computer, prepares reports, compiles statistical data on leaf program, curb and gutter program and snow/ice control. • Collects, compiles and tracks data, prepares reports as requested for special projects, such as clean-up under FEMA (Federal Emergency Management Agency). • Prepares invoices and annual reports, monitors expenditures, tracks projects to invoice for damaged City property to recapture lost funds, and tracks capital outlay. • Assists in processing the division budget and budget amendments. • Prepares spring sweeping schedule, winter standby list and summer standby list. • Designs database and spreadsheets for applications, utilizes appropriate computer applications, reviews and updates division webpage as needed. • Uses daily assignment sheets to track equipment, materials and labor time used on projects into each appropriate budget code for budget planning and invoicing. • Operates standard office equipment including a computer, calculator, printers and copy machines in performance of duties, operates two-way radio to communicate with City crews. • Composes and types a variety of correspondence regarding division services. • Maintains office files, opens, and routes mail. Updated: August 2025 (Admin Review) • Enters contracts and change orders, prepares purchase requisitions, check requests and small order requisitions; submits for approval and transmittal. • Monitors procurement cards and purchase requests. • Prepares bi-weekly timecards and records, overtime compensation accrual records and sick leave charts for divisional employees; monitors and records employee attendance forms, accrual printouts and compensation accrual data; maintains Occupational Safety and Health Administration and overtime equalization reports. • Conducts self in a professional manner which demonstrates courtesy and respect for all community members and coworkers. • Performs other duties as assigned. Minimum Education, Experience, Certification/Licensure, Other • High school diploma or G.E.D. and one year of related experience or training; or equivalent combination of education and experience. Experience in clerical work, including public contact and use of personal computers. • Must pass criminal background check. Preferred Education, Experience, Certification/Licensure, Other • Associate’s degree from an accredited educational institution; or two years of related experience and/or equivalent combination of education and experience. Knowledge, Skills, and Abilities • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals, ability to calculate percent. • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. • Ability to deal with problems involving several concrete variables in standardized situations. • Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization. • Ability to prepare written correspondence. • Ability to read and interpret maps, work orders and purchase requisitions. • Ability to reliably and predictably carry out duties. • Knowledge of City street locations. Knowledge of general office procedures. • Knowledge of City utility services and operations. • Skill in using computers and applicable software applications (Microsoft Office – Word, Excel, Outlook, Cartegraph or Asset management software).
