HomeMy WebLinkAboutWaiting List Vendor Process 2022 (Edited) WAITING LIST/DAILY VENDOR GUIDELINES The Iowa City Farmers Market (ICFM) welcomes and appreciates inquiries from qualified prospective new vendors. I know it can be frustrating to register for the market to then get the message that you are being placed on the waiting list. Vendor definition: § Season Vendors: Season Vendors may retain their location within the market from year to year if attendance is uninterrupted, unless the market layout changes making it necessary for the Parks & Recreation Director and/or the Market Coordinator to make changes to season vendor stall assignments. Vendor spaces may be moved by the ICFM Coordinator or the ICFM Supervisor throughout the season due to late arrivals, special events and fluctuation in overall size of the market. § Wait List/Daily Vendors: Wait list/daily vendors will be assigned a stall prior to the market day by the Market Coordinator or the Market Supervisor. Vendors who show up the day of the market hoping to be assigned a stall will be turned away. § Insurance is required by all vendors: (NEW TO MARKET THIS YEAR!) All vendors must maintain a minimum of a $1 million dollar liability insurance and provide a certificate of insurance naming the City of Iowa City as an additional insured. ANY VENDOR NOT HAVING THIS DOCUMENT ON FILE WITH THE CITY WILL BE UNABLE TO VEND. At the Iowa City Farmers Market, once a vendor becomes a season vendor, they are guaranteed their stall for the following and future market seasons. This is important, especially for farmers, who will start planning and making purchases for the next season prior to the current season ending. However, please do not be discouraged. Many waiting list vendors will get into the market on a regular basis if they follow the below instructions. THE WAITING LIST VENDOR PROCESS When a season vendor registers for the market, they will select the dates that they are planning to attend and will omit any dates of planned absences. This allows me to then fill those stalls with waiting list vendors prior to the start of the season, usually mid to late April. Once all those vacant stalls have been filled, waiting list vendors will need to then proceed with the following guidelines. At the beginning of each week, I will create a waiting list for the market. If you are a waiting list vendor who wants to attend a Saturday market, you may contact me any time after the current Saturday market ends. For example, say you want to attend the Saturday, May 7th Farmers Market. You may contact me after noon on Saturday, April 30th to be added to the weekly waiting list for the following Saturday. Email is the preferred method at brad-barker@iowa-city.org but I understand that not everyone has access to email. In that case you may leave me a message at 319/356-5102. I make note of the date and time that messages come in (both email and phone) and will place you on the waiting list in that order. Vendors will be selected based on the availability of space, the diversity that their products add to the market, and their position on the waiting list. Please feel free to contact me with any questions. I can be reached at brad-barker@iowa-city.org or 319/356-5102. Email is highly preferred and will likely have a much quicker response time. This position will be transitioned to another full-time staff member mid-season. Please be on the lookout for information on that change. Brad Barker, Recreation Superintendent
